How to export your Lotus Notes address book

This method uses a roundabout way to export your Lotus Notes address book and has three prerequisites.

  1. You must have a mobile device that syncs with your Lotus Notes address book (i.e. a BlackBerry device.)
  2. You must have a Gmail or Google Apps account with Google.
  3. Your mobile device must be supported by Google’s Mobile Sync software.  (Click here to check

1. Install Google Sync for your mobile phone.
2. Configure Google Sync to connect to your Gmail account.
3. Sync your contacts.
4. Log in to your Gmail account and view your Contacts.
5. Click Export and select an option.

**Remember – Google Sync is a BETA product. Please be sure to back up your mobile device before installing Google Sync.

Moving Contacts from Microsoft Outlook to Lotus Notes

Changing desktop email applications isn’t difficult…unless, of course, you:

A. Use a smartphone.
B. Sync your smartphone’s address book with your email client.
C. Move from Microsoft Outlook to Lotus Notes.

Unfortunately, there’s no easy way to move your Outlook contacts to Notes.

Export your Outlook contacts into an Excel File
1. File -> Import and Export
2. Export to a File -> Next
3. Microsoft Excel -> Next
4. Click on Map Custom Fields -> Next
5. Click on Map Default -> OK
6. Highlight Contacts folder -> Next
7. Select where to save the exported file
8. Click on Finish

Prepare your Excel File for importing
1. Open the Excel file you just created
2. Highlight the entire row with the contact headers (Name, Title, etc.)
3. Press the delete key
4. Open the Excel spreadsheet included with this document
5. Highlight the entire row with the contact headers.
6. Copy the headers
7. Go back to your original Excel file
8. Paste the new headers into the now empty top row
9. File -> Save As
10. In the “Save as type” box, choose “WK4 (1-2-3) (*.wk4)”
11. Create a name, and save and close the document
12. (click yes when you get the warning that it is not compatible)

Import the .Wk4 document into Lotus Notes
1. Go into your Personal Address Book in Notes
2. File -> Import
3. Browse to find the .wk4 file you just created with the following options:

- Use “Form Business Card” (or “Contact” if using R5)
- WKS Title Defined
- Calculate fields on form during import

4. Click OK and the files should be successfully imported.

Known Issues
If there are any birthday or anniversary fields filled out, delete these rows before importing into Notes. Notes and Outlook use different time/date formats, which will result in an error during import.

If you get an error that you cannot locate the form, be sure that you have not selected “Contacts” rather than “Contact” in R5.
